Here you will find a summary of the information on participating in the Humboldt-Universität zu Berlin Sport and Recreation programme.
ATTENTION: Additional conditions of participation apply to excursions.

Conditions of participation

Eligibility

Students and staff of Humboldt-Universität zu Berlin and cooperating Berlin universities, HU alumni with proof, students of other universities, and external individuals (staggered registration if space is available) are eligible to participate in the Sport and Recreation programmes.

Minimum age

The minimum age for participating in Sport and Recreation courses is 18.

Registration

For organisational and insurance reasons, all courses require registration. You may not participate in Sport and Recreation courses without prior booking.
You must register for all sports courses ONLINE. You must present your confirmation of registration, transfer slip and proof of status to the course leader upon request.

Course fee payment

All HU Sport and Recreation activities are subject to a fee. You must transfer the course fees to the HU Berlin account within three working days of successful registration, or your booked place expires automatically.
In exceptional cases it is possible to pay the fee cash in the Sport and Recreation secretary office during office hours. Card payments are not possible.

 


Registration
  • You must register for all sports courses ONLINE via the Sport and Recreation website.
  • In exceptional cases, you can register in person in the Sport and Recreation secretary office during office hours once online registration is open.
  • You must also register for excursions ONLINE (Note: Additional conditions of participation apply to excursions).
  • Please print out the confirmation of registration for the direct transfer details and submit to the course leader.
  • Due to high demand, we recommend using the programme preview time. This can be viewed online a few days before registration. Choose a course in advance, because some offers are already booked out just a few minutes after registration opens.
  • It is important to transfer the course fees in good time (see terms of payment) otherwise your booking will be automatically cancelled after a few days.
  • Your registration may not be transferred to another person.

 


Terms of payment

Fees

All HU Sport and Recreation courses and excursions are subject to a fee. The fee amount varies from programme to programme, is set in order to cover costs, and can be found in the course description.

Tariff group 1: Students of HU and cooperating universities

Tariff group 2: Staff of HU and cooperating universities

Tariff group 3: HU alumni, students of other universities
► Due to the usage fees levied for external individuals who participate in sport and recreational classes at municipal sports facilities, a fourth fee category has been established for these courses. The total fee consists of the course fee for staff plus the surcharge for use of local sports facilities.
For sports activities in HU’s own sports facilities, the staff fee category also applies to HU alumni and students of other universities.

Tariff group 4: External individuals
► ‘External individuals’ covers all individuals not falling into the categories named above. Registration for these individuals opens later on some courses. For details, visit the relevant course page.

General information

  • You must make a separate payment for every sports course registration.
  • Every successful sports course booking is binding and entails an obligation to pay. We reserve the right to legally claim this if necessary.
  • Please list your course number and your name on direct transfers.
  • You must transfer the fee to the HUB account within three working days of registration or your booked place will be automatically cancelled.
  • In exceptional cases it is possible to pay cash in the Sport and Recreation secretary office during office hours. However, you cannot pay by card.
  • In principle, no fees paid will be reimbursed. There is an exception for  programmes that are cancelled by Sport and Recreation.
  • Pro rata repayment if you withdraw before the course begins (e.g. long-term inability to play sport as a result of illness) will only be approved by Sport and Recreation if the reason for withdrawal is indicated immediately and written proof is provided within 14 days of applying for a repayment. A processing fee of €5 will be retained.

 


Withdrawal and rebooking

Withdrawal regulations

  • If courses do not receive sufficient bookings, Sport and Recreation reserves the right to cancel or combine courses.
  • If Sport and Recreation is forced to cancel a course, the full course fee will be refunded upon written application. If individual course dates are cancelled, for example if the course leader is ill, Sport and Recreation will try to provide a replacement or offer catch-up dates.
  • You may withdraw from a course up to seven days before the course begins.
  • In principle, no repayments will be made. If there is a good reason for the withdrawal (e.g. illness with a doctor’s certificate), Sport and Recreation will review the subsequent procedure.
  • In any event, the pro rata payment on the date of notification and the processing fee of max. €10.00 will be retained. The participant may not reclaim any reimbursement if less than half of the course is remaining.

Rebooking

  • In principle, rebooking is not permitted. If there is a good reason for the withdrawal (e.g. illness with a doctor’s certificate, unforeseen schedule changes), Sport and Recreation will review the procedure to take further action.
  • Note: Courses are not permitted to fail to cover their costs.
  • If you rebook on a cheaper course, no repayment will be made.
  • If you rebook on a more expensive course, you must pay the remaining course fee within three working days.
  • A processing fee of €5.00 will be charged for the rebooking.

 


Insurance

Accident insurance

Students at Berlin universities who have duly registered for Sport and Recreation are insured against sporting accidents with Unfallkasse Berlin according to the specifications of the German Social Security Code (SGB) VII.
Staff at Berlin universities who have duly registered for Sport and Recreation are also insured for officially recognised Sport and Recreation events.
NO insurance coverage is provided for the students and staff of universities in other states or for external individuals. The legal basis for this insurance protection is SGB VII.
The insurer will perform an individual evaluation for every damage claim.
The Sport and Recreation secretary’s office must be immediately informed of any sporting accidents.

Liability insurance

Humboldt-Universität zu Berlin does not provide any liability insurance for damage or thefts suffered by registered participants.
We therefore recommend that all Sport and Recreation participants obtain additional private liability insurance for the liability risks that may arise from participating in our programmes, or alternatively, that they do not bring ANY valuables with them to sports courses.

 


Data protection

Use of personal data

Sport and Recreation will only collect personal data as freely provided by participants with their knowledge, and will use it exclusively for administration and contract processing purposes. This data will not be forwarded to third parties without the participant’s consent unless Sport and Recreation is legally obliged to do so.

Course leader contact details

For data protection reasons, the email addresses of course leaders cannot be given out to participants. To contact a course leader, please send an email to: hochschulsport@hu-berlin.de. It will be forwarded to the relevant coach.

 


Liability

Anyone who borrows HU Berlin Sport and Recreation property must return it intact, in full and in good time. The borrower remains liable to Sport and Recreation even if there is damage caused by a third party.
No compensation will be made for damage or loss of goggles, clothing etc., even if it occurs at Sport and Recreation. The Sport and Recreation facility accepts no liability for loss of private property (e.g. theft in the cloakroom) during Sport and Recreation activities.
This still applies if the lockers installed in the sports facilities have been broken into. We recommend securing valuable property and money, as high participant turnover means that it is not generally possible to undertake effective checks or investigations.

Public holidays

As a general rule, no courses take place on public holidays.

HU sport recess during the Christmas/school holidays

  • As a general rule, no courses are available during occupational Christmas holidays (these dates will be published in good time on the Sport and Recreation website).
  • Fitness studios: see special opening hours.
  • Use of school sports halls during statutory school holidays is individually regulated. This information can be found under the course times for the relevant programme on the website.

 


Conditions of participation for excursions

The conditions of participation above remain unchanged, with the addition of the following:

Our excursions are primarily available for students and in the case of remaining free places for members of the university according to § 43 para. 1BerlHG. In the case of additional free capacity it is possible that some places can be occupied on request in exceptional cases by external people.

Registration

By registering, you are entering a binding contract. This will becomes valid upon payment of the deposit of at least 50 percent of the total or the relevant deposit amount indicated.
For registrations in person, the 50 percent of the total or the deposit as indicated per person must be paid immediately.
The remainder must be paid without any further request from the ZEH at least two months prior to the beginning of the course, unless otherwise stated in the course description, otherwise the ZEH is permitted to cancel the enrollment without any further reasons and can occupy the course place for other purposes.

Participant withdrawal

Participants can cancel the sports activity they have booked in writing at any point before the beginning of the course. The date on which Central Unit - Sport and Recreation receives this written notification is definitive.
In the event of a cancellation, the costs actually incurred will be due, with a minimum payment of €50.
Repayments will only be made upon written application up to 14 days before the beginning of the course, listing your bank account number, sort code and (where relevant) authorisation for joint bookings.
Non-participation without written withdrawal will be treated as a withdrawal. The costs actually incurred will therefore be due, with a minimum payment of €50.

Organiser withdrawal

The organiser may withdraw the course up to four weeks before it begins if the minimum number of participants has not been reached or if the contractual partners at the travel destination withdraw. If this occurs, all amounts paid will be reimbursed.

Insurance/liability

Participants are responsible for acquiring their own insurance coverage. We therefore recommend obtaining liability, accident, health, repatriation and baggage insurance.
According to the verdict of the Federal Social Court of Germany (Ref.: B 2 U 13/13 R from 04/12/2014) the existence of an accident insurance for students cannot be assured. It is an individual decision for each case.
The organiser will not accept any form of liability (in the event of theft or other damage).
Participants are responsible for complying with passport and customs regulations for courses abroad.

General course information

Courses are designed as group trips. Participants must arrive as stated in the relevant course description.
Double rooms are not an accommodation option. Rooms are allocated at the location. If there are any disputes, the participants must draw lots.
For organisational reasons, every participant agrees that their personal details (address, date of birth, phone number) may be passed on to the relevant cooperating contractual partner.
If confirmation of registration, booking voucher and proof of status cannot be produced at the beginning of the course, the course leader is entitled to record the participant’s personal details upon presentation of their ID card and forward these details to the Central Unit - Sport and Recreation.
If there are payment differences between the participant and the Sport and Recreation central registration department, the course leader must record the participant’s personal details upon presentation of their ID card and forward these details to the Sport and Recreation central registration department.
Every course participant accepts the booking conditions and specific course information. If this is not the case, they are permitted to withdraw from the course without any monetary refund.
